How to Create an HOA Meeting Agenda (2-Minute Video)

Doug McLain August 31, 2026 1 min read

Watch the two-minute demo above — a complete board meeting agenda, built from scratch.

Every good board meeting starts with an agenda, and in most states your owners are supposed to see it before the meeting — not find out afterward what was decided. The video above shows the whole process in HOAmeeting.com, from an empty meeting to a numbered agenda that's ready to share.

The steps in the video

  1. Open the meeting you've scheduled and click Edit, then scroll to the agenda section.
  2. Create the first item — a homeowner open forum, for example. Every item gets a title and an optional description.
  3. Add the rest in seconds each: approval of last month's minutes, the treasurer's report, old business, new business, adjournment.
  4. Drag anything that's out of order into place — the agenda renumbers itself.

Why build it here instead of a Word doc

Because this agenda isn't just a handout — it's the skeleton of your minutes. When the meeting happens, each agenda item is exactly where you'll record the motions and votes, and the finished minutes come out in proper form with no retyping. The agenda, the minutes, and the approval that makes them official all live on the same meeting record.

Not sure what belongs on the agenda?

Start from our free HOA meeting agenda template — it covers the standard order of business for a regular board meeting, and you can adapt it to your association in a few minutes.

HOAmeeting.com is free for HOA and condo boards — agendas, motions, minutes, and approvals in one place. Create your association and build your first agenda. And if you missed it: here's how to schedule the meeting itself in under a minute.
